View and manage all active and deactivated aircraft, maintain aircraft details, assign document libraries, and track compliance requirements. This is your central register for aircraft operations and maintenance.

The Fleet Management page provides a comprehensive view of your organisation's aircraft fleet. It enables operations staff to manage aircraft details, track document libraries, and control which aircraft are active for scheduling and operations.

2 Page layout

Search and view controls

The top of the page contains search, filtering, and view controls that help you find and organise aircraft data.

  • Search box: Search by registration, serial number, aircraft model, type designator, or operator name. Results update automatically as you type.
  • Active/Deactivated toggle: Switch between viewing active aircraft and deactivated (archived) aircraft.
  • Filter dropdown: Access advanced filters for aircraft, aircraft types, operators, and nationality.
  • Items per page: Adjust the number of aircraft displayed per page (appears when 16+ aircraft match filters).
Action buttons

Based on your permissions, you'll see these action buttons in the top-right area:

  • Aircraft Documents Report: Generate a comprehensive report showing document status across the fleet.
  • Add Aircraft: Open the aircraft details window to add a new aircraft to your fleet (requires edit permission).
Aircraft fleet table

The main table displays all aircraft matching your current view and filters. The table header is colour-coded (yellow/gold background) and shows whether you're viewing "Active aircraft fleet" or "Deactivated aircraft fleet". Click column headers to sort by that field. Each row represents one aircraft with detailed specifications and status information.

3 Primary workflows

3.2 Add a new aircraft

Who can do this: Operations staff with aircraft management edit permissions

Steps:
  1. Click Add Aircraft in the top-right
  2. In the aircraft window that opens, complete the required fields (marked with red asterisks):
    • Aircraft Registration: The unique registration number (e.g., ZS-ABC)
    • ICAO Type Designator: Select the aircraft type from the dropdown
    • Passenger Seating Capacity: Number of passenger seats
    • Weight unit of measure: Choose kg, lbs, or tonnes
  3. Complete optional fields as needed:
    • Aircraft serial number: Manufacturer's serial number
    • Operator: The operating company (defaults to your organisation)
    • Date manufactured: Manufacturing date
    • Aircraft model: Specific model variant if applicable
    • Nationality: Aircraft registration country
    • Has Lavatory on Board: Check if aircraft has lavatory
    • Maximum Take-off Weight: MTOW in specified units
    • Schedule display colour: Colour used in schedule views
  4. Scroll down to configure additional settings if needed:
    • Enabled for documents: Allow document library assignment
    • Enabled for maintenance hub: Make available in Maintenance Hub (if AMO features are enabled)
    • Engine configuration: Specify number and type of engines
  5. Click Save
Result:

The new aircraft is added to the active fleet and appears in the table. The aircraft becomes immediately available for selection in Flight Schedule, Maintenance Hub, and other modules where aircraft selection is required.

3.3 Edit aircraft details

Who can do this: Operations staff with aircraft management edit permissions

Steps:
  1. Locate the aircraft in the table (use search if needed)
  2. In the active aircraft view, click the Edit button (blue pencil icon) in the first column
  3. The aircraft details window opens with the title "Edit details for [Registration]"
  4. Modify any fields as needed (same fields as when adding new aircraft)
  5. Click Save
Result:

Changes are saved immediately and reflected in the table. Any modifications to aircraft details automatically update throughout the system wherever that aircraft is referenced.

3.4 Manage aircraft document library

Who can do this: Operations staff with aircraft management edit permissions (document assignment)

Each aircraft can be assigned a document library containing manuals, checklists, and other required documents. The library status is visible in the "Library" column.

Understanding library status indicators:
  • Green button with checkmark: All required documents are complete and up-to-date
  • Yellow/orange button: Some documents are missing, pending, or approaching expiry
  • Red button: Critical documents are missing or expired
  • "N/A": This document group is not assigned to this aircraft
  • Disabled grey button: Documents are not enabled for this aircraft
Steps to manage library:
  1. Locate the aircraft in the table
  2. In the Library column, click the coloured Open button (the colour indicates current status)
  3. Optionally, click the magnifying glass icon next to "Open" to see a detailed status popover
  4. In the library window that opens (titled "Manage library for [Registration]"):
    • Expand document groups to view individual documents
    • Upload required documents using the upload buttons
    • Set expiry dates where applicable
    • Review document status indicators
  5. Click Close when finished
Expanding library groups:

Click the expand/collapse icon in the Library column header to toggle between two views:

  • Collapsed view (default): Shows one overall library status per aircraft
  • Expanded view: Shows separate columns for each main document group, allowing you to see status by category at a glance
Result:

Documents uploaded to aircraft libraries are immediately available to crew and operations staff. Library status updates automatically as documents are added, updated, or expire. Staff with appropriate permissions receive notifications when aircraft documents require attention.

3.5 Deactivate an aircraft

Who can do this: Operations staff with aircraft management edit permissions

Deactivating an aircraft removes it from active operations while preserving all historical data. Deactivated aircraft do not appear in flight scheduling dropdowns or crew assignment tools.

Steps:
  1. Locate the aircraft in the Active view
  2. Click the Deactivate button (yellow warning button with ban icon) in the rightmost column
  3. In the confirmation window, review the message "Are you sure you want to deactivate this aircraft?"
  4. Click Confirm to proceed, or Cancel to abort
Result:

The aircraft is immediately deactivated and removed from the Active fleet view. It moves to the Deactivated view where you can see the deactivation timestamp (in UTC) and username of the person who deactivated it. The system records an activation log entry capturing the deactivation action, date/time, and user.

3.6 Activate a deactivated aircraft

Who can do this: Operations staff with aircraft management edit permissions

Steps:
  1. Switch to the Deactivated view using the toggle
  2. Locate the aircraft you want to reactivate
  3. Click the activation log button (clock icon) to review the aircraft's activation history if needed
  4. Click the Activate button (green button with plus icon) in the rightmost column
Result:

The aircraft is immediately reactivated and moved back to the Active fleet view. It becomes available again for flight scheduling and crew assignments. The system records an activation log entry capturing the activation action, date/time, and user.

3.7 Generate aircraft documents report

Who can do this: Operations and maintenance staff

Steps:
  1. Click Aircraft Documents Report in the top-right (available in both Active and Deactivated views)
  2. In the report window that opens, configure report parameters:
    • Select specific aircraft or include all
    • Choose document groups to include
    • Set date range if applicable
  3. Click Generate
Result:

A comprehensive report is generated showing document compliance status across selected aircraft. The report includes expiry dates, missing documents, and compliance percentages. This report is useful for audits, compliance reviews, and fleet-wide document management.

4 Feature reference

4.1 Search and filters

Search box

The search box supports searching across multiple fields simultaneously. You can search by any of the following terms (case-insensitive):

  • Registration: Full or partial aircraft registration (e.g., "ZS-ABC", "ABC")
  • Serial number: Manufacturer's serial number
  • Aircraft model: Model name or variant
  • Type designator: ICAO type code (e.g., "C208", "B737")
  • Operator: Operating company name
Filter dropdown

Click the filter icon/button to access advanced filtering options:

  • Aircraft: Filter to specific aircraft (multi-select)
  • Aircraft Types: Show only aircraft of selected types
  • Operators: Filter by operating company
  • Nationality: Filter by registration country

Filters work in combination with the search box. To clear filters, use the "Clear" or "Reset" option in the filter dropdown.

4.2 Aircraft fleet table columns

The following table explains each column in the aircraft fleet table. Columns marked with are sortable by clicking the column header.

Active fleet table columns
Column Meaning Notes
Edit Opens the aircraft details window for editing Only visible in Active view. Shows blue pencil icon button.
Registration Aircraft registration number Sortable. Primary identifier for the aircraft.
Serial number Manufacturer's serial number Sortable. May be blank if not entered.
Type Designator ICAO type code, with model shown in parentheses if applicable Sortable. Example: "C208 (Caravan)" or "B737".
Operator Operating company name Shows company managing this aircraft.
Nationality Country of aircraft registration Sortable. Shows country name (e.g., "South Africa").
Seating Capacity Number of passenger seats Sortable. Used for capacity planning and passenger operations.
Weight UoM Weight unit of measure used for this aircraft Shows "Kilograms", "Pounds", or "Tonnes".
MTOW Maximum Take-Off Weight in specified units Sortable. Critical for weight and balance calculations.
MH Maintenance Hub enabled status Only visible if AMO features are enabled. Green checkmark = enabled, red X = disabled.
Library Document library status and access Colour-coded button shows compliance status. Click expand icon in header to see status by document group. See "Manage aircraft document library" workflow for details.
Deactivate Deactivate this aircraft Yellow button with ban icon. Only visible in Active view.
Deactivated fleet table columns

When viewing deactivated aircraft, the table columns are similar to the active view with these differences:

  • Edit column is hidden: You cannot edit deactivated aircraft directly
  • Library column is hidden: Document libraries are not accessible for deactivated aircraft
  • Deactivated (UTC) column replaces Library: Shows the date/time (in UTC) when the aircraft was deactivated, plus a button to view the activation history log
  • Activate column replaces Deactivate: Green button with plus icon to reactivate the aircraft

4.3 Aircraft details window fields

When adding or editing aircraft, the following fields are available. Fields marked with * are required.

Configuration options

Additional configuration options appear further down in the aircraft details window:

  • Enabled for documents: Controls whether this aircraft can be assigned document libraries. When disabled, the Library column shows a greyed-out button with a tooltip explaining documents are not enabled.
  • Enabled for maintenance hub: Controls whether this aircraft appears in Maintenance Hub modules. Only visible if your organisation has AMO features enabled.
  • Engine configuration: Specify the number and positions of engines if applicable. Used for maintenance tracking and technical log purposes.

4.4 Activation history log

Each aircraft maintains a complete activation history showing every time the aircraft was activated or deactivated. This log is accessible from the Deactivated view.

Accessing the log:
  1. Switch to the Deactivated view
  2. Find the aircraft in the table
  3. In the "Deactivated (UTC)" column, click the clock icon button
Log contents:

The activation log window (titled "Activation logs for [Registration]") displays a table with these columns:

  • Action: Either "Activated" or "Deactivated"
  • Date/Time (UTC): When the action occurred
  • User: Full name and username of the person who performed the action

This log is useful for auditing purposes, understanding aircraft lifecycle history, and tracking changes made by different users over time.

5 Field & status glossary

Terms and abbreviations

MTOW Maximum Take-Off Weight - the maximum weight at which the pilot is allowed to attempt to take off, determined by aircraft design and certification
MH Maintenance Hub - indicates whether this aircraft is enabled for maintenance tracking features
Type Designator ICAO aircraft type code (e.g., C208 for Cessna Caravan, B737 for Boeing 737)
UoM Unit of Measure - the measurement unit used for weight (kg, lbs, or tonnes)
Registration The unique identifier assigned to an aircraft by its registration authority (e.g., ZS-ABC for South African aircraft, N12345 for US aircraft)
Serial Number Manufacturer's unique serial number assigned during production, different from registration
Nationality The country where the aircraft is registered, usually indicated by the registration prefix
Active Aircraft that are currently operational and available for flight scheduling
Deactivated Aircraft that have been removed from active operations but remain in the system for historical reference

6 Rules, permissions & validations

Permission requirements

Access to Fleet Management features is controlled by role-based permissions. The following describes what different user groups can do:

View access
  • Who: Operations staff, maintenance staff, administrators, and crew with aircraft viewing permissions
  • Can do: View the aircraft fleet table, search and filter aircraft, view aircraft details, check library status indicators
  • Cannot do: Add, edit, or deactivate aircraft; manage document libraries
Edit access
  • Who: Operations staff and administrators with aircraft management edit permissions
  • Can do: Everything in view access, plus add new aircraft, edit aircraft details, activate/deactivate aircraft, manage document libraries, generate reports
  • Permission code: Fleet Management - Edit
Validation rules

When adding or editing aircraft, the system enforces the following rules:

Required field validations
  • Aircraft Registration: Must be unique across all aircraft (active and deactivated). Cannot be empty or whitespace only.
  • ICAO Type Designator: Must be selected from existing aircraft types. Cannot add aircraft without selecting a type.
  • Passenger Seating Capacity: Must be a positive number (greater than zero).
  • Weight unit of measure: Must select a valid unit (kg, lbs, or tonnes).
Business rules
  • Aircraft Type must exist first: Before adding an aircraft, ensure its Aircraft Type has been created in Aircraft Management > Aircraft Types.
  • Deactivated aircraft cannot be scheduled: Aircraft in the deactivated state do not appear in flight scheduling or crew assignment dropdowns.
  • Document enablement required for libraries: To assign document libraries, "Enabled for documents" must be checked in aircraft settings.
  • Maintenance Hub visibility: The "MH" column and "Enabled for maintenance hub" option only appear if AMO features are enabled for your organisation.
  • Operator defaults: When adding new aircraft, the Operator field defaults to your primary organisation but can be changed to other operators if configured.
Not authorized messages

If you lack sufficient permissions, you'll see these indicators:

  • "You are not authorised" warning banner: Appears if you lack any fleet viewing permissions. The page shows only this message.
  • Disabled grey buttons with "Not Authorized" tooltip: Appears on action buttons (Add Aircraft, Edit, Deactivate) if you have view permission but lack edit permission.
  • Library buttons disabled: If you can view aircraft but cannot edit libraries, library buttons appear greyed out with explanatory tooltips.
