Published Flight Schedule

View, manage, and approve published flight operations across your organisation.

This is your central register of confirmed flight schedules. Search flights, capture post-flight data, create quotes, export schedules, and approve flights. Crew can view their assigned flights and generate OFPs.

The Published Flight Schedule page displays all flights that have been published for operations. This page serves different purposes depending on your role and permissions.

2 Page layout

Search and filters

The top of the page contains a search bar and filter controls. You can search by flight number, aircraft registration, route (e.g., "FAOR-FACT"), date, crew names, client names, or base codes.

  • Search box: Type any searchable term and the table updates automatically after a short delay
  • Active/Deleted toggle: Switch between viewing active flights and deleted flights
  • Period selection: Filter flights by date range
  • Filter dropdown: Access additional filters for aircraft, bases, clients, crew, and more
  • Items per page: Adjust the number of flights displayed (appears when 16+ flights match filters)
Action buttons

Based on your permissions, you'll see action buttons in the top-right area:

  • Capture Post-Flight Data: Bulk capture actuals for selected flights (crew and operations staff)
  • Bulk Edit Flights: Edit multiple flights at once (operations staff)
  • Create Quote: Generate quotes from selected flights (quotations staff)
  • Create OFP: Generate consolidated Operational Flight Plans (crew)
  • Add Flights: Add individual flights or weekly recurring flights (operations staff)
  • Export: Export schedule to Excel, PDF, or print directly
Flights table

The main table lists all published flights with sortable columns. Click column headers to sort. The table adapts to show relevant information based on your role and feature flags enabled for your organisation.

3 Primary workflows

3.2 Add a new flight

Who can do this: Operations staff with flight schedule editing permissions

Steps:
  1. Click Add Flights in the top-right
  2. Choose Individual flights or Weekly recurring flights
  3. In the flight window that opens, complete the required fields:
    • Flight number
    • Date and times (STD, STA in UTC or Local)
    • Route (departure and arrival airports)
    • Aircraft (or aircraft type if not yet assigned)
    • Client (if applicable)
    • Crew assignments (optional at this stage)
  4. For weekly recurring flights, specify:
    • Start and end dates for the recurring pattern
    • Days of the week to repeat
  5. Click Save
Result:

The new flight(s) are added to the schedule. For recurring flights, multiple flights are created automatically across the specified period. The flight(s) appear in the table and are marked as Published.

3.3 Edit a flight

Who can do this: Operations staff with flight schedule editing permissions

Steps:
  1. Find the flight in the table
  2. Click the Edit button in the flight's row
  3. In the flight window, update the fields you need to change
  4. Click Save
Result:

The flight is updated immediately. Changes are visible to all users viewing the schedule. If the flight was part of a weekly recurring pattern, you can also choose to edit the entire pattern by clicking the icon.

3.4 Bulk edit flights

Who can do this: Operations staff with flight schedule editing permissions

Bulk editing allows you to update multiple flights at once—useful for changing aircraft assignments, times, or crew across several flights.

Steps:
  1. Click Bulk Edit Flights in the top-right
  2. The table now shows checkboxes in the first column
  3. Select at least 2 flights by clicking their checkboxes
  4. Click the Edit [X] Flights button that appears
  5. In the bulk edit window:
    • Enable the fields you want to update (each field has a checkbox)
    • Enter the new value for each enabled field
    • All selected flights will be updated with these values
  6. Click Save
  7. Click the red X button to exit bulk edit mode
Result:

All selected flights are updated with the new values you provided. Only the fields you enabled are changed; other flight details remain unchanged.

3.5 Capture post-flight data

Who can do this: Flight crew assigned to the flight, or operations staff with post-flight permissions

Post-flight actuals (PFA) capture real operational data after a flight completes: actual times, fuel burn, delays, diversions, and crew duty information.

Steps:
  1. Click Capture Post-Flight Data in the top-right
  2. Select the flight(s) you want to capture actuals for using the checkboxes
  3. Click Capture [X] Flights
  4. In the PFA window, complete the required fields:
    • Actual off-block time (AOBT)
    • Actual takeoff time (ATOT)
    • Actual landing time (ALDT)
    • Actual on-block time (AOBT)
    • Fuel uplifted
    • Crew duty times (if required by your organisation)
    • Delay codes (if delays occurred)
    • Diversion details (if the flight diverted)
  5. Upload any required documents (e.g., tech log, flight reports)
  6. Click Submit
Result:

The flight's post-flight data is saved. The flight status changes to indicate PFA is complete. Crew duty hours and flight times are calculated automatically and feed into the Flight & Duty Tracker and timesheets.

3.6 Approve or reject flights

Who can do this: Users assigned as flight approvers in Scheduling Settings

If flight approval is enabled for your organisation, flights must be approved before they can proceed to operations. This workflow is typically used when flights are created by schedulers and require review by operations managers.

Steps to approve/reject individual flights:
  1. Locate the flight in the table
  2. In the Flight Approval column, click the dropdown for the flight
  3. Select Approved, Rejected, or Pending
  4. If rejecting, enter a rejection reason in the window that appears
  5. Click Save
Steps to bulk approve/reject flights:
  1. In the Flight Approval column header, click the Update all dropdown
  2. Choose Approve all, Reject all, or Change all to pending
  3. Confirm your choice in the window that appears
Result:

The flight approval status is updated. Approved flights can proceed normally. Rejected flights are flagged and may require changes before re-approval. Operations staff can see rejection reasons in the flight details.

Undo a bulk approval action:

If you accidentally bulk-approve or bulk-reject flights, you can undo the last bulk action by clicking the Undo button that appears next to "Update all" immediately after a bulk operation. This reverts all flights affected by the last bulk action to their previous approval status.

3.7 Create a quote from flights

Who can do this: Users with quotations permissions

You can generate price quotes for clients directly from published flights.

Steps:
  1. Click Create Quote in the top-right
  2. Select the flight(s) you want to quote using the checkboxes
  3. Click Create Quote
  4. In the quote window, the selected flights are automatically added
  5. Complete the quote details:
    • Client
    • Quote configuration (pricing model)
    • Currency
    • Any additional services or adjustments
  6. Click Save
Result:

A new quote is created and linked to the selected flights. The quote appears in the Quotations module. Flights with active quotes show a Quote badge in the table with the quote reference number.

3.8 Deactivate or reactivate a quote

Who can do this: Users with quotations permissions

When a quote is linked to a flight, you can deactivate it if it's no longer relevant (client declined, expired, or superseded). You can also reactivate a deactivated quote if needed.

Steps to Deactivate:
  1. Find the flight with the quote you want to deactivate
  2. In the Quote column, click the Deactivate button (red ban icon) next to the quote reference
  3. Enter a Deactivation Reason (e.g., "Client cancelled", "Quote expired")
  4. Click Deactivate
Steps to Reactivate:
  1. Find the flight with the deactivated quote (shown with a warning icon)
  2. In the Quote column, hover over the warning icon to see deactivation details
  3. Click the Reactivate button (green plus icon) if available
  4. Confirm the reactivation
Result:

Deactivated quotes show a warning triangle icon. Hover over it to see deactivation details (reason, user who deactivated, and date/time). The flight becomes available for new quote creation after deactivation. Reactivated quotes return to active status and the flight cannot be selected for new quotes.

3.9 Create an OFP (crew)

Who can do this: Flight crew viewing their own assigned flights

Flight crew can generate Operational Flight Plans (OFPs) for their assigned flights. An OFP consolidates multiple flight sectors into a single document for crew briefing.

Steps:
  1. Click Create OFP in the top-right
  2. Select the flights you want to include using the checkboxes
  3. Click Create OFP
  4. In the OFP window, review the included flights and add:
    • OFP reference number
    • Aircraft (if not already assigned)
    • Crew members (if not already assigned)
    • Any additional notes or briefing information
  5. Click Save and Generate
Result:

An OFP document is created and linked to the selected flights. Flights with OFPs show an OFP badge in the table. You can view, update, or remove the OFP using the buttons in the OFP column.

3.10 Export the schedule

Who can do this: All users

Steps:
  1. Apply any filters to narrow down to the flights you want to export
  2. In the top-right, click the Export dropdown (Excel, PDF, or Print icon)
  3. Choose your preferred format:
    • Excel: Downloads a spreadsheet with all visible flights and columns
    • PDF: Generates a formatted PDF document
    • Print: Opens a print-friendly view in a new browser window
Result:

The schedule is exported in your chosen format. The export includes all flights currently visible in the table (filtered and sorted as you've set). Hidden columns are not included.

3.11 Delete a flight

Who can do this: Operations staff with flight schedule editing permissions

Steps:
  1. Find the flight in the table
  2. Click the Delete button in the flight's row
  3. Confirm the deletion in the window that appears
Result:

The flight is marked as Deleted and removed from the Active view. It remains in the system and can be viewed by switching to the Deleted view. Deleted flights cannot be operated but are retained for record-keeping and reporting.

4 Table columns reference

The flights table displays different columns based on your role, permissions, and organisation settings. Not all columns are visible to all users.

Standard columns
Column Meaning Notes
Clear Checkbox for bulk selection. Appears when bulk editing, quoting, capturing PFA, or creating OFPs. Click the "Clear" button in the header to deselect all flights.
Edit Edit button to open the flight window. May include a bulk edit icon for recurring flights. Disabled if the flight is locked or you lack permissions.
Delete / Activate When viewing Active flights: Delete button to mark the flight as deleted. When viewing Deleted flights: Activate button to restore the flight. This column changes based on the Active/Deleted toggle. Deleted flights move to the Deleted view; restored flights return to Active view.
Flight No. The flight number or callsign (e.g., "ABC123"). Sortable column. Click header to sort.
Date Scheduled date of departure in UTC or local time (based on your filter settings). Sortable column. Displays as "DD MMM YYYY".
STD Scheduled Time of Departure in UTC or local time. Format: "HH:MM". If local, timezone offset is shown.
STA Scheduled Time of Arrival in UTC or local time. Format: "HH:MM". If local, timezone offset is shown.
Route Departure and arrival airport codes (e.g., "FAOR-FACT"). Shows ICAO codes. Click to view airport details.
Aircraft Assigned aircraft registration (e.g., "ZS-ABC") or aircraft type if not yet assigned. Shows a badge. Click to view aircraft details.
Client The client or customer for this flight (if applicable). May be blank for non-charter flights.
Crew Assigned crew members for this flight with their positions (e.g., PIC, Co-pilot, FA). Click to view crew details or open FDP analysis.
FDP Flight Duty Period status indicator showing compliance with regulatory limits. Click to view detailed FDP analysis. Toggle between single-user and multi-user view using the icon in the column header.
PAX Number of passengers booked on this flight. May be blank if passenger services are not used.
Scheduled Status Status indicating whether the flight is Published or Unpublished. On this page, all flights show "Published".
Flight Status Operational status: Scheduled, In Progress, Completed, Cancelled, Diverted. Colour-coded badges for quick identification.
OFP Operational Flight Plan status. Shows if an OFP is attached and provides view/edit/remove buttons. Only visible to crew viewing their own flights.
Diversions Indicator showing if the flight diverted to an alternate airport. Click to view or add diversion details. Shows a badge with diversion icon.
Delays Total delay time for the flight. Click to view or add delay codes. Colour-coded: green (no delay), amber (minor), red (significant).
Flight Approval Approval status: Pending, Approved, or Rejected. Dropdown to change status. Only visible if flight approval is enabled and you have approval permissions.
Quote Quote reference number and link if a quote is attached to this flight. Click to view quote details. Edit or deactivate using buttons. Deactivated quotes show a warning icon — hover to see deactivation details (reason, user, and date).
Current Dispatch Link to the current dispatch package for this flight (weather, NOTAMs, briefing). Only visible if dispatch features are enabled.
Comments Flight sector comments badge for coordination and notes. Click to view or add comments. Badge is green when comments exist, gray when no comments. Hover to preview. Comments sync with Dispatch page.
Custom form fields

Your organisation may have configured additional custom fields that appear as extra columns in the table. These fields are defined in your Scheduling Settings and can include:

  • Text fields (e.g., "Booking reference", "Flight purpose")
  • Number fields (e.g., "Cargo weight", "Flight hours estimate")
  • Dropdown selections (e.g., "Flight category", "Service type")
  • Date fields (e.g., "Charter start date")

Custom fields marked as "Show in Main Table" appear as columns. You can edit these fields in the flight window when editing a flight.

5 Filters and search

Effective filtering helps you find flights quickly, especially when managing large schedules.

Search box

The search box accepts multiple searchable terms:

  • Flight number (e.g., "ABC123")
  • Aircraft registration (e.g., "ZS-ABC")
  • Route (e.g., "FAOR-FACT", "FAOR", "FACT")
  • Crew names (first name, last name, or full name)
  • Client name
  • Base code
  • Date (in various formats)
Filter dropdown

The filter dropdown provides additional filtering options:

Date and time filters
  • Period: Select a predefined range (Today, This Week, This Month, etc.) or custom dates
  • Start date / End date: Define a custom date range
  • Time zone: View times in UTC or Local
Entity filters
  • Base: Filter by operating base
  • Aircraft: Filter by specific aircraft registration
  • Aircraft type: Filter by aircraft type (e.g., all Boeing 737 flights)
  • Client: Filter by client name
  • Crew: Filter by crew member name
  • Flight type: Filter by flight category (if configured)
Useful filter combinations
Clearing filters

To reset all filters and show all flights:

  1. Clear the search box
  2. In the filter dropdown, click Clear filters or reset individual filters to "All"
  3. Set the period back to a broad range (e.g., "This Month" or custom dates)

6 Permission-based features

The Published Flight Schedule page adapts to your assigned permissions. Different user roles see different options and buttons.

7 Understanding flight statuses

Scheduled Status

Indicates whether a flight is confirmed for operations:

  • Published – Confirmed and visible to all users. Ready for operations.
  • Unpublished – Still in planning. Not visible to crew. Only accessible in Schedule Planner.
Flight Status

Indicates the operational state of the flight:

  • Scheduled – Flight is planned but has not yet departed.
  • In Progress – Flight is currently airborne or in operation.
  • Completed – Flight has landed and post-flight data is complete.
  • Cancelled – Flight was cancelled and will not operate.
  • Diverted – Flight diverted to an alternate airport.
Flight Approval Status (if enabled)

If your organisation has enabled flight approval, each flight has an approval status:

  • Pending – Awaiting approval from an authorised approver.
  • Approved – Flight is approved and can proceed to operations.
  • Rejected – Flight was rejected. View rejection reason in the flight details.

Important: Flights must be approved before they can be dispatched or operated, even if they are Published.

8 Troubleshooting and FAQs

Why can't I see the "Add Flights" button?

The "Add Flights" button only appears if you have flight schedule editing permissions. If you need to add flights and don't see this button, contact your system administrator to check your role permissions.

Why is the edit button disabled for a flight?

A flight's edit button is disabled if:

  • The flight is locked (usually because post-flight actuals are being captured)
  • You lack flight schedule editing permissions

If the flight is locked, navigate to the Post-Flight Actuals page to unlock it. A popover message on the disabled button explains the reason.

Why can't I select a flight for quoting or bulk edit?

Some flights cannot be selected for certain bulk operations:

  • Quote creation: Flights with an existing active quote cannot be selected. Deactivate the existing quote first or edit it instead.
  • OFP creation: Flights already linked to a different OFP cannot be selected unless you're updating that same OFP.
Why is "Update all" disabled in the Flight Approval column?

Bulk approval ("Update all") is only available when fewer than 250 flights are displayed. If you have more than 250 flights visible, refine your filters (e.g., narrow the date range or apply aircraft/crew filters) to reduce the number of flights.

Why don't I see the OFP column?

The OFP column only appears if:

  • Your organisation has enabled OFPs in feature flags
  • You are viewing the page as a crew member (filtered to your own flights)

Operations staff viewing all flights will not see the OFP column.

Why can't I export the schedule?

Export buttons are visible to all users, but if you lack export permissions, they will be disabled with a "Not authorised to export flights" message. Contact your administrator if you need export access.

What does "Flight locked" mean?

A flight is locked when post-flight actuals are being captured or have been submitted. Locked flights cannot be edited to preserve the integrity of operational data. To make changes, navigate to the Post-Flight Actuals page and unlock the flight if needed.

Can I restore a deleted flight?

Who can do this: Operations staff with flight schedule editing permissions

Yes. Deleted flights can be restored and returned to active status.

Steps:
  1. Switch to the Deleted view using the Active/Deleted toggle at the top of the page
  2. Find the flight you want to restore in the table
  3. Click the Activate button in the flight's row
Result:

The flight is restored to active status and immediately moved back to the Active view. It becomes available for all normal operations including scheduling, crew assignment, and dispatch.
