Ad Hoc & Special Maintenance Tasks
Manage ad hoc and special maintenance tasks that don't fit into scheduled maintenance intervals.
1 What's on this page
The Ad Hoc Tasks page allows maintenance staff to manage unscheduled maintenance tasks that arise from inspections, findings, manufacturer directives, or operational requirements. Each task can be assigned to a specific component, given a compliance schedule, and tracked through to completion via maintenance job cards.

Ad hoc tasks differ from scheduled maintenance in that they are created as-needed rather than following a predetermined maintenance programme. Use this page for one-off repairs, modifications, special inspections, or compliance with non-recurring directives.
Tasks remain visible in their respective tabs (Open, Closed, Cancelled) based on their current status and selected time period filter.
2 Primary workflows
2.1 Submit a new ad hoc task
Create a new ad hoc maintenance task when you identify work that needs to be tracked and completed:
- Click the Submit new ad hoc task button in the top-right corner
- In the task window, complete the Task Details section:
- Title: Enter a clear, concise task name (required)
- Description / Reason: Provide detailed scope of work, reason for the task, or reference to external documentation
- Complete the Applicability section:
- Component Type: Select from Airframe, Engine, Propeller, Airframe Part, Engine Part, or Propeller Part (required)
- Component: Search for and select the specific component this task applies to (required)
- Tech Log #: Optionally enter the technical log number if the task originated from a tech log entry
- Set the Compliance Schedule:
- Check Task is immediately due if the work must be completed before the next flight
- Or leave unchecked and specify the remaining interval in flight hours, cycles, calendar days, or landings
- Optionally attach Supporting Documents such as manufacturer bulletins, inspection photos, or work instructions
- Click Submit to create the task
2.2 Edit an existing task
Modify task details before a job card has been created:
- In the Open tab, locate the task you want to edit
- Click the blue pencil button () in the Edit column
- Update any of the task fields as needed
- Click Submit to save your changes
2.3 Create a job card for a task
Generate a maintenance job card to formally document and execute the work:
- In the Open tab, find the task requiring a job card
- In the Job Card column, click the Create Job button
- Complete the job card window with:
- Work performed details
- Parts used
- Time and materials
- Certifying staff information
- Upload supporting documents if required
- Click Submit to create the job card
Once created, the job card code appears as a blue button in the Job Card column. Click the job card code to view details, or use the document buttons to access initial and completed job card PDFs.
2.4 Complete a job card
Mark a task as complete once the maintenance work is finished:
- Locate the task with an active job card in the Open tab
- In the Job Card column, click the blue Complete button with the clipboard check icon ()
- Review and confirm the completion details in the completion window
- Add final notes or documentation if needed
- Click Complete to close the job card
Completed tasks move to the Closed tab and show the completion date and time in the Resolved column.
2.5 Request a deadline extension
Request additional time to complete a task when the compliance schedule needs adjustment:
- In the Open tab, locate the task requiring an extension
- In the Due column, click the interval badge (which may show as a coloured indicator based on time remaining)
- Click the Request Extension option
- Complete the extension request window:
- Specify the additional interval needed (hours, cycles, days, or landings)
- Provide justification for the extension
- Attach supporting documentation if required
- Click Submit to send the request for review
Extension requests appear in the Review Ext. column for authorised reviewers to approve or deny.
2.6 Review an extension request
Authorised maintenance managers can review and approve or deny extension requests:
- In the Open tab, look for tasks with pending requests in the Review Ext. column
- Click the review button (shows count of pending requests if any)
- Review the extension request details, including:
- Current compliance interval
- Requested additional interval
- Justification provided
- Supporting documents
- Choose to Approve or Deny the request
- Add review comments as needed
- Click Submit to finalise the review
2.7 Cancel a task
Cancel tasks that are no longer needed or have been superseded:
- In the Open tab, find the task to cancel
- Click the red trash icon button () in the rightmost column
- Confirm the cancellation when prompted
- Provide a reason for deactivation in the confirmation window
- Click Confirm
Cancelled tasks move to the Cancelled tab where they can be viewed or re-opened if needed.
2.8 Re-open a cancelled task
Restore a cancelled task back to active status:
- Switch to the Cancelled tab
- Locate the task to re-open
- Click the green check icon button () in the rightmost column
- Confirm the re-opening action
The task returns to the Open tab and can be worked on as normal.
3 Searching and filtering
Use the search bar and filters to quickly find specific tasks or narrow down the list based on your criteria.
Search Options
The search bar at the top-left searches across multiple task fields:
- Task code
- Task title
- Description text
- Component name
- Aircraft registration
- Tech log number
- Creator name
Click the info icon () next to the search bar to see the complete list of searchable fields.
3.1 Using filters
The filter section below the search bar provides additional refinement options:
- Period Selection: Choose from preset time ranges (This Month, This Quarter, This Year, etc.) to filter tasks by creation date
- Custom Date Range: Select specific start and end dates for precise filtering
- Additional Filters: Use the filter dropdowns to narrow by aircraft, component type, or other criteria depending on your organisation's configuration
Filters work in combination with the active tab (Open, Closed, Cancelled) to show only relevant tasks.
4 Understanding the tasks table
The main table displays all ad hoc tasks with detailed information. Column visibility changes based on the active tab (Open, Closed, or Cancelled).

Closed Tab Differences
The Closed tab shows completed tasks with these column changes:
- No Edit column
- No Due column
- No Review Ext. column
- No Cancel column
- Adds Resolved (UTC) column showing completion date and time
- Adds Extensions column showing history of any approved extensions
Cancelled Tab Differences
The Cancelled tab shows deactivated tasks with these column changes:
- No Edit column
- No Due column
- No Review Ext. column
- Adds Resolved (UTC) column (typically empty for cancelled tasks)
- Adds Extensions column
- Adds Reason for deactivation column showing why task was cancelled
- Changes last column to Re-open with green check icon
5 Task statuses explained
Ad hoc tasks progress through different statuses as they move through their lifecycle. Understanding these statuses helps you prioritise work and track progress.
Status Badges

| Closed | Task and associated job card have been completed | No action needed - task is resolved and documented |
| Cancelled | Task was deactivated without completion | No action needed unless task needs to be re-opened |
6 Working with job cards
Job cards provide the formal documentation needed to record maintenance work performed on ad hoc tasks. They track labour, parts, certifications, and completion details.
6.1 Job card lifecycle
Understanding the job card process helps ensure proper documentation:
- No job card: Task shows a Create Job button - work has not started
- Job card created: Job card code appears as a blue button - work is in progress
- Job card completed: Completion date appears in the Resolved column - task is finished
7 Viewing task details
Click any task code (blue button in the Code column) to open a read-only window showing complete task information.

The footer of the read-only window shows audit information:
- Created date, time, and user
- Last modified date, time, and user (if modified)
8 Permissions and access control
Ad hoc task management is controlled by permissions to ensure only authorised personnel can create, modify, or complete tasks.
