The Inventory page provides comprehensive management of aircraft parts and components. The page organises parts by type and allows you to track their locations, assignments, and history across your maintenance operations.

2 Primary Workflows

Create a new part type

When to use: Before adding parts to inventory, create the part type that categorises them.

Steps
  1. Click the Add new part type dropdown button (top-right)
  2. Select the category:
    • Airframe Part Type – for airframe components
    • Engine Part Type – for engine components
    • Propeller Part Type – for propeller components
  3. In the window that opens, enter:
    • Name – descriptive name for the part type (required)
    • Part Number – manufacturer's part number (optional)
    • Min. Required (Default) – default minimum quantity for dispatch (optional)
  4. Click Submit to save and close, or Save to save and continue editing
  5. Click Cancel to discard changes

Add a new part to inventory

When to use: When you receive a new part or component that needs to be tracked in inventory.

Steps
  1. Click the Add new part dropdown button (top-right)
  2. Select the category matching your part:
    • Airframe Part
    • Engine Part
    • Propeller Part
  3. In the window that opens, complete the required fields:
    • Part Type – select from existing part types (required)
    • Serial Number – unique identifier for this part (required)
    • Currently Assigned To – choose assignment type, location, and date
    • Additional Description – extra identifying details (optional)
    • Manufacturer – part manufacturer (optional)
    • Date Manufactured – manufacturing date in UTC (optional)
    • Supplier – part supplier (optional)
    • Owner – internal company or third-party operator (required)
  4. Click Submit to save and close

Move a part to a new location

When to use: When transferring parts between stores, installing parts on aircraft/engines/propellers, or removing parts from service.

Steps
  1. Expand the part type row to see individual parts
  2. Locate the part you want to move
  3. Click the green Move dropdown button (cart-arrow-up icon)
  4. Select the destination type:
    • Move to store – transfer to a store location
    • Move to aircraft – install on an aircraft (airframe parts only)
    • Move to engine – install on an engine (engine parts only)
    • Move to propeller – install on a propeller (propeller parts only)
  5. In the window that opens:
    • Select the specific destination (store, aircraft, engine, or propeller)
    • Enter the assignment start date in UTC
    • Add optional comments about the move
  6. Click Submit to complete the move

Discard or restore a part

When to use: When removing damaged, obsolete, or unserviceable parts from active inventory, or restoring previously discarded parts.

Discard a part
  1. Ensure you're viewing Active parts (toggle at top-centre)
  2. Expand the part type to see individual parts
  3. Find the part to discard
  4. Click the red Discard button (trash icon) in the far-right column
  5. In the window that opens, provide:
    • Reason for discarding
    • Date discarded (UTC)
  6. Click Submit to confirm
Restore a discarded part
  1. Switch to Deactivated view (toggle at top-centre)
  2. Expand the part type to see discarded parts
  3. Find the part to restore
  4. Click the green Restore dropdown button (checkmark icon)
  5. Select where to restore the part (store, aircraft, engine, or propeller)
  6. Complete the assignment details and click Submit

Edit a part or part type

When to use: When updating part details, correcting information, or modifying part type properties.

Steps

To edit a part type:

  1. Click the blue Edit button (pencil icon) next to the part type name
  2. Modify the Name, Part Number, or Minimum Quantity fields
  3. Click Submit or Save

To edit a part:

  1. Expand the part type to see individual parts
  2. Click the blue Edit button (pencil icon) next to the part
  3. Update any field (serial number, manufacturer, supplier, owner, etc.)
  4. Click Submit to save and close

View and manage assignment history

When to use: When you need to track where a part has been over time or review its movement history.

Steps
  1. Expand the part type to see individual parts
  2. Find the part you want to review
  3. In the Date assigned column, click the blue history button (rotate icon)
  4. The window shows all assignments in reverse chronological order
  5. Review:
    • Assignment type (store, aircraft, engine, propeller, or discarded)
    • Specific location or component
    • Start date and end date of each assignment
    • Comments added during moves
  6. Click Close when finished

Attach documents to a part

When to use: When you need to store certificates, purchase orders, inspection reports, or other documentation with a part.

Steps
  1. Expand the part type to see individual parts
  2. Click the Documents button (file-pen icon) showing the current document count
  3. In the documents window:
    • Click Add Document
    • Enter document name and description
    • Upload the file from your device
    • Click Save
  4. View uploaded documents by clicking their names
  5. Remove documents using the delete button if needed
  6. Click Close when finished

Add comments to a part

When to use: When you need to record notes, observations, or history about a specific part.

Steps
  1. Expand the part type to see individual parts
  2. Click the Comments button (comment icon) in the part row
  3. In the comments window:
    • Type your comment in the text field
    • The system automatically records your name and timestamp
    • Click Save to add the comment
  4. View all comments with their timestamps and authors
  5. Edit or delete your own comments if needed
  6. Click Close when finished

Deactivate or activate a part type

When to use: When discontinuing a part type or reactivating one previously removed from use.

Steps

To deactivate a part type:

  1. Ensure all parts of this type are discarded (no active parts remain)
  2. Click the red Deactivate button (trash icon) next to the part type
  3. Confirm the deactivation in the window that appears
  4. The part type moves to the Deactivated view

To activate a part type:

  1. Switch to Deactivated view (toggle at top-centre)
  2. Find the part type to reactivate
  3. Click the green Activate button (checkmark icon)
  4. Confirm the activation
  5. The part type returns to the Active view

Search and filters

The page provides multiple ways to find and filter parts:

Search capabilities

The search bar (top-left) searches across multiple fields. Click the information icon next to the search bar to see all searchable fields.

Typical searchable fields include:

  • Part type name
  • Part number
  • Serial number
  • Additional description
  • Manufacturer name
  • Supplier name
  • Owner name
Filter options

The filter section below the action buttons provides:

  • Part Type: Filter to specific part type(s)
  • Aircraft: Show only parts assigned to specific aircraft
  • Aircraft Types: Show parts for specific aircraft type(s)
  • Store: Show parts located in specific store(s)
  • Assigned To: Custom filter label for location filtering

Using filters:

  1. Click the filter category you want to use
  2. Select one or more options from the dropdown
  3. The table updates automatically
  4. Clear filters by clicking the X next to selected items or using Clear All

Main parts table

The table displays part types with expandable rows showing individual parts.

Column Meaning Notes
Expand/Collapse Toggle to show/hide individual parts Badge shows count of parts under this type. Use +/- buttons at top to expand/collapse all.
Edit Opens window to edit part type details Only visible in Active view. Blue pencil icon.
Add part Quickly add a new part of this type Only visible in Active view. Green plus icon. Pre-selects the part type.
Name Part type name Sortable column. Click header to sort alphabetically.
Part number Manufacturer's part number Shows "-" if not provided.
Type Category: Airframe, Engine, or Propeller Determines where parts of this type can be assigned.
Total quantity Count of active parts of this type Updates automatically when parts are added or discarded.
Deactivate/Activate Remove from or restore to active use Red trash icon to deactivate, green checkmark to activate. Cannot deactivate if active parts exist.

Individual parts table (expanded view)

When you expand a part type, you see individual parts with these columns:

Column Meaning Notes
Edit Opens window to edit this part Active view only. Blue pencil icon.
Move Relocate part to different assignment Active view only. Green dropdown with cart-arrow-up icon. Options adapt to part type.
Name Part name (excluding serial number) Truncated with popover if too long.
Serial number Unique identifier for this part Required field that distinguishes this part from others of the same type.
Assigned to Current location or component Shows store with bin location, or aircraft/engine/propeller name. "-" if unassigned.
Date assigned When current assignment started Date in dd MMM yyyy format. Includes history button (rotate icon) to view all assignments.
Date manufactured Manufacturing date UTC date in dd MMM yyyy format. Optional field.
Manufacturer Company that manufactured the part Shows "-" if not provided.
Supplier Company that supplied the part Shows "-" if not provided. May differ from manufacturer.
Owner Internal company or third-party operator Required field. Shows company name or "-".
Documents Manage attached documents Active view only. Badge shows count: green when documents exist, red when none. File-pen icon.
Comments Add or view comments about this part Active view only. Comment icon opens comments window.
Discard/Restore Remove from or restore to inventory Red trash icon to discard (Active view), green checkmark dropdown to restore (Deactivated view).

Opens when: Adding or editing part types

Fields:

  • Name (required)
  • Part Number
  • Min. Required (Default)

Actions:

  • Submit – save and close
  • Save – save and continue editing
  • Cancel – discard changes
  • Add another part type – add multiple in one session
Parts window

Opens when: Adding or editing parts

Fields:

  • Part Type (required)
  • Additional Description
  • Serial Number (required)
  • Currently Assigned To (assignment, location, date)
  • Manufacturer
  • Date Manufactured (UTC)
  • Supplier
  • Owner (required)

Actions: Submit, Cancel

Move Part window

Opens when: Moving or discarding parts

Fields:

  • Assignment type (store, aircraft, engine, propeller, or discarded)
  • Destination (specific location or component)
  • Start date (UTC)
  • Comments
  • Reason (for discarding only)

Actions: Submit, Cancel

Manage Assignments window

Opens when: Viewing assignment history

Shows:

  • Complete assignment history
  • Assignment type and location
  • Start and end dates
  • Comments from each move

Actions: Close (read-only window)

Documents window

Opens when: Managing part documents

Features:

  • List of attached documents
  • Upload new documents
  • View document details
  • Download documents
  • Delete documents

Actions: Add Document, Close

Comments window

Opens when: Adding or viewing comments

Features:

  • List of all comments with timestamps
  • Author name for each comment
  • Add new comments
  • Edit your own comments

Action buttons and controls

Top toolbar actions
  • Expand all / Collapse all: Buttons in the first column header to expand or collapse all part types at once
  • Add new part dropdown: Top-right dropdown to add Airframe, Engine, or Propeller parts
  • Add new part type dropdown: Top-right dropdown to add Airframe, Engine, or Propeller part types
  • Generate report button: Top-right of table header (bar chart icon) to generate inventory reports

Pagination and view controls

Table navigation
  • Items per page: Choose 15, 30, or 50 items per page (appears when total items exceed 16)
  • Page numbers: Click page numbers at bottom of table to navigate
  • Active/Deactivated toggle: Centre toggle switches between viewing active and deactivated items
  • Sorting: Click "Name" column header to sort part types alphabetically (ascending or descending)

Part type categories

Assignment types

5 Rules, Permissions & Validations

Access permissions

If you don't have edit permission, action buttons appear disabled with explanatory tooltips.

Business rules

Part type rules
  • Part types must have a unique name
  • Cannot deactivate a part type with active parts
  • Cannot remove a part type that has parts (active or deactivated)
  • Part type category (Airframe/Engine/Propeller) cannot be changed after creation
  • Minimum quantity defaults to 0 if not specified
Part rules
  • Parts must have a part type selected
  • Serial numbers should be unique within a part type (system allows duplicates but not recommended)
  • Parts must have an owner (internal company or third-party operator)
  • Part category must match its part type category
  • Cannot restore a part if its part type is deactivated
Assignment rules
  • Airframe parts can only be assigned to stores or aircraft
  • Engine parts can only be assigned to stores or engines
  • Propeller parts can only be assigned to stores or propellers
  • A part can have only one active assignment at a time
  • Assignment history is preserved when moving parts
  • Discarded parts have no active assignment
Validation rules
  • Required fields must be completed before saving
  • Dates must be valid and in the past or present
  • Assignment start dates create a timeline (newer assignments close older ones)
  • Cannot have overlapping active assignments
