The Defers & Defects page provides a complete register of aircraft defects and deferred maintenance items. It helps maintenance staff track open issues, manage MEL (Minimum Equipment List) compliance, monitor due dates, and document defect resolution.

Open Defects

Active defects requiring attention:

  • Create and edit defects
  • Monitor due dates and intervals
  • Request and review extensions
  • Assign and complete job cards
Closed Defects

Historical defect records:

  • View resolved defects
  • Review completion details
  • Examine extension history
  • Audit maintenance actions

2 Understanding defect types

Musket tracks two categories of defects, each with distinct rules and workflows:

MEL Defects

MEL (Minimum Equipment List) defects are linked to specific MEL items from the aircraft's approved MEL. These defects:

  • Reference a specific MEL item and ATA chapter
  • Have repair categories (e.g., Cat A, Cat B, Cat C, Cat D)
  • Include due dates based on calendar days or intervals
  • Support extension requests for deferrals
  • Require time of discovery (UTC) for interval-based items
Non-MEL Defects

Non-MEL defects are issues not covered by the MEL. These defects:

  • Do not reference MEL items
  • Are marked as "Immediate" priority
  • Must be resolved before flight
  • Do not support extension requests
  • Require immediate rectification or grounding

3 Submitting a new defect

From the Open tab, click the Submit new defect dropdown button in the top-right corner. Select the defect type:

  • MEL Defect: For defects covered by the MEL
  • Non-MEL Defect: For immediate rectification items

3.1 MEL defect submission workflow

When you select MEL Defect, a window opens with the following fields:

Required fields
  • Date of Discovery (UTC): The date the defect was discovered
  • Short Description: Brief summary of the defect
  • Defective Component Type: Choose from Airframe, Engine, Propeller, Airframe Part, Engine Part, or Propeller Part
  • Defective Component: Select the specific aircraft, engine, propeller, or part affected
  • MEL Item: Choose the applicable MEL item from the aircraft's MEL (filtered by aircraft type)
Additional fields based on MEL item

After selecting an MEL item, the window adapts based on the item's repair category:

  • Time of Discovery (UTC): Appears for Category A items (prescribed by MEL) that have intervals based on flight hours, cycles, or calendar time. Specify the exact time the defect was discovered.
  • Tech Log Number: Optional field to record the technical log reference
  • Detailed Remarks: Optional extended description of the defect
Submitting the defect

Click Submit to save the defect. The system automatically:

  • Generates a unique defect code
  • Calculates the due date based on the repair category
  • Sets the defect status to Open
  • Records your user details as the reporter

The defect now appears in the Open tab and is visible to all maintenance staff with appropriate permissions.

3.2 Non-MEL defect submission workflow

When you select Non-MEL Defect, the window opens with fewer fields since these defects are not linked to MEL items:

Required fields
  • Date of Discovery (UTC): The date the defect was discovered
  • Short Description: Brief summary of the defect
  • Defective Component Type: Choose the component type
  • Defective Component: Select the specific aircraft, engine, propeller, or part
Optional fields
  • Tech Log Number: Technical log reference
  • Detailed Remarks: Extended description

Non-MEL defects are marked as Immediate and must be rectified before the aircraft can be released for flight.

Click Submit to save. The defect appears in the Open tab with an immediate priority badge.

4 Viewing and editing defects

4.1 Viewing defect details

Click the Code button (e.g., "DEF-001") for any defect to open a read-only view window showing:

  • Complete defect information
  • Discovery details and reporter
  • Aircraft and component information
  • MEL item details (for MEL defects)
  • Attached documents and photos
  • Extension request history
  • Linked job card and maintenance action

This window is read-only and provides full visibility into the defect's details without allowing edits.

4.2 Editing open defects

From the Open tab, click the Edit button (pencil icon) to modify a defect. The edit window allows you to update:

  • Short description and detailed remarks
  • Date and time of discovery
  • Tech log number
  • Defective component (if not linked to a job card)
  • MEL item (for MEL defects, if not linked to a job card)
Deleting defects

The edit window includes a Delete button. Deleting a defect removes it permanently from the system. Only delete defects that were created in error. If a defect is no longer applicable, it's better to complete the associated job card and close it properly for audit trail purposes.

5 Monitoring due dates and intervals

For MEL defects, the system tracks when the defect must be rectified based on the MEL item's repair category.

Calendar-Based Due Dates

For repair categories with fixed calendar days (e.g., Cat B, C, D):

  • Due date is calculated from discovery date
  • Displayed in the Due column
  • Colour-coded badges indicate urgency
  • Extensions can be requested before the due date
Interval-Based Due Dates

For Category A items prescribed by MEL:

  • Intervals use flight hours, cycles, or days
  • Calculated from time of discovery
  • Remaining interval shown as badge
  • Updated automatically as aircraft operates
Due date badge colours

The Due column displays colour-coded badges:

  • Green: More than 3 days remaining
  • Amber: 1-3 days remaining
  • Red: Overdue or less than 1 day remaining
  • Immediate: Non-MEL defects requiring immediate action

Hover over any badge to see detailed information including exact due date, remaining time, or interval details.

6 Requesting and reviewing extensions

MEL defects support extension requests when the defect cannot be rectified before the due date. Extensions allow temporary deferrals under controlled conditions.

6.1 Requesting an extension

In the Open tab, locate the defect you need to extend. In the Due column, click the due date badge to open the extension request window.

Extension request details

The extension request window requires:

  • Reason for Extension: Select from predefined reasons (e.g., "Parts on order", "Scheduled maintenance slot", "Awaiting specialist technician")
  • New Due Date: Proposed extended due date or interval
  • Remarks: Detailed justification for the extension
  • Supporting Documents: Optional attachments (photos, supplier quotes, technical references)

Click Submit Request to send the extension request for approval. The system:

  • Notifies authorised maintenance managers
  • Records the request with timestamp and requestor
  • Updates the defect status to show a pending extension

The defect remains in the Open tab with its original due date until the extension is approved.

6.2 Reviewing extension requests

If you have the Review Extensions permission, you'll see a Review Ext. column in the Open tab. This column shows buttons for defects with pending extension requests.

Extension review workflow

Click the Review button to open the extension review window. You can:

  • Approve: Accept the extension and update the due date
  • Deny: Reject the extension and keep the original due date
  • Request Changes: Ask for more information or revised dates

When approving an extension, you must:

  • Review the justification and supporting documents
  • Confirm the new due date is reasonable
  • Add review comments explaining your decision
  • Optionally attach approval documents

After your decision, the system updates the defect's due date (if approved) and notifies the requestor. All extension decisions are logged for audit purposes.

6.3 Extension history

In the Closed tab, the Extensions column shows a history button for defects that had extensions. Click this button to view:

  • All extension requests for the defect
  • Request dates and reasons
  • Approval or denial decisions
  • Reviewers and review dates
  • Comments and supporting documents

This provides a complete audit trail of all deferral decisions for regulatory compliance and safety management.

7 Job cards and maintenance actions

Defects are resolved by creating and completing maintenance job cards. Job cards document the maintenance work performed and link to maintenance actions.

7.1 Creating a job card

In the Job Card column, defects without job cards show a Create Job Card button. Click it to open the job card initialisation window.

Job card details

The window pre-fills defect information and asks for:

  • Planned Start Date: When maintenance work will begin
  • Assigned Technician: Staff member responsible for the work
  • Estimated Duration: Expected time to complete
  • Work Instructions: Detailed rectification steps

Click Create to generate the job card. The system creates a new maintenance action linked to the defect and changes the defect status to In Progress.

The Job Card column now shows buttons to view, edit, or complete the job card.

7.2 Completing a job card

Once rectification work is finished, click the Complete button in the Job Card column. The completion window requires:

  • Completion Date & Time (UTC): When the work was finished
  • Work Performed: Description of rectification actions taken
  • Parts Used: Components installed or replaced
  • Labour Hours: Technician time spent
  • Certifying Staff: Licenced engineer or authorised person
  • Completion Documents: Photos, test results, or release certificates

Click Complete Maintenance to close the job card. The system:

  • Marks the maintenance action as complete
  • Closes the defect and moves it to the Closed tab
  • Records completion details and certifying staff
  • Updates aircraft maintenance logs

Completed defects can still be viewed in the Closed tab for audit and reporting purposes.

7.3 Viewing job card PDFs

The Job Card column includes buttons to generate and view PDF documents for job cards. These PDFs provide printable maintenance documentation including:

  • Defect details and discovery information
  • Job card instructions and work steps
  • Completion details and certifications
  • Parts used and labour recorded

Click the PDF button to generate and open the document. PDFs are useful for technicians working away from computer systems or for regulatory compliance documentation.

8 Search and filters

The page includes powerful search and filtering to quickly locate specific defects or groups of defects.

8.2 Filters

Below the search box, the filter panel offers additional filtering options:

  • Aircraft: Filter by specific aircraft registration(s)
  • Aircraft Type: Filter by aircraft type (e.g., all King Air 200 defects)
  • MEL Item Category: Filter by repair category (Cat A, B, C, D, Non-MEL)
  • Status: Filter by defect status (Open, In Progress, Closed, Overdue)
  • Reported By: Filter by user who reported the defect
  • Date Range: Filter by discovery date or completion date

Filters work together—select multiple filter values to narrow results further. Use the Clear Filters button to reset all filters.

The filter bar saves your preferences, so your selected filters persist when you return to the page or switch tabs.

8.3 Sorting

Click column headers to sort the defects table:

  • Code: Alphabetical order
  • Discovery (UTC): Date order
  • Reported by: User name order
  • Resolved (UTC): Completion date order (Closed tab only)

Click a column header once to sort ascending, twice to sort descending. The current sort column and direction are indicated by an arrow icon in the header.

9 Defects table columns

The Open and Closed tabs display different columns based on the defect status. Below is a comprehensive reference for all columns.

10 Status badges

Defects display status badges that indicate their current state and urgency.

11 Export and analytics

The top-right corner of each tab includes an Insights button (bar chart icon) that opens the analytics and export window.

Available exports

Generate reports and export data for:

  • Defers & Defects Register: Complete list of all defects with filters applied
  • Open Defects Summary: Current open items requiring attention
  • Overdue Defects Report: Defects past their due date
  • Extension Requests Log: History of all extension requests and approvals
  • Maintenance Compliance Report: MEL compliance tracking by aircraft

Choose your preferred format (PDF, Excel, CSV) and click Generate. The system applies your current search and filter selections to the export.

Exports are useful for regulatory audits, management briefings, and trend analysis.

12 Access and permissions

Defers & Defects features are controlled by role-based permissions. Different roles see different options:

  • View Defers & Defects: Can view defects in both Open and Closed tabs
  • Submit Defects: Can create new MEL and Non-MEL defects
  • Edit Defects: Can modify open defects and update details
  • Manage Job Cards: Can create, assign, and complete maintenance job cards
  • Request Extensions: Can submit extension requests for MEL defects
  • Review Extensions: Can approve or deny extension requests
  • Export Data: Can generate reports and export defect data
Operational rules
  • Defects cannot be deleted once linked to a job card
  • Job cards cannot be completed without certifying staff details
  • Extension requests can only be submitted before the due date
  • Non-MEL defects cannot have extension requests
  • Closed defects become read-only and cannot be reopened

13 Troubleshooting and FAQs

Why can't I see the Submit new defect button?

You need the "Submit Defects" permission to create new defects. Contact your administrator to review your role and permissions.

Why can't I edit a defect's component or MEL item?

Once a defect is linked to a job card or maintenance action, these core fields become locked to preserve data integrity. If you need to change them, you must delete the job card first (if work hasn't started) or close the current defect and create a new one with the correct details.

How do I request an extension for a Non-MEL defect?

Non-MEL defects cannot have extensions—they must be rectified immediately or the aircraft must be grounded. If the issue is actually deferrable, consider whether it should be reclassified as an MEL defect with the appropriate MEL item reference.

Why don't I see the Review Ext. column?

The Review Extensions column only appears if you have the "Review Extensions" permission. This permission is typically assigned to chief engineers, quality managers, or authorised maintenance personnel.

Why is my search not returning results?

Check that you're on the correct tab (Open or Closed) for the defects you're looking for. Also verify your filter selections—clear all filters and try again. The search is case-insensitive and searches multiple fields, so partial matches should work.

How do I see all defects for a specific aircraft?

Use the Aircraft filter to select the registration, or type the registration in the search box. Switch between Open and Closed tabs to see all historical and current defects for that aircraft.

Can I reopen a closed defect?

No, closed defects cannot be reopened. If the same issue recurs, create a new defect and reference the previous defect code in the detailed remarks. This maintains a clear audit trail and accurate maintenance history.
