Access and view your organisation's document library including manuals, procedures, and operational documents.
1 What's on this page
The Company Documents page displays your organisation's document library in a hierarchical structure. Documents are organised into groups and categories, making it easy to find specific manuals, procedures, policies, or operational documents. You can search across all documents, expand or collapse groups, and view details such as issue numbers, effective dates, and expiry dates.
What you see here
- Hierarchical document tree: Documents organised in expandable groups and categories
- Search box: Filter documents by name or other attributes
- Expand/collapse controls: Buttons to expand or collapse all groups at once
- Document details table: Columns showing document information including issue numbers, dates, and status
- Status badges: Visual indicators showing document validity, expiry, and other statuses
Key concepts
- Organisation Library: The central repository of company documents accessible to authorised users
- Document groups: Categories that organise related documents together (e.g., Flight Operations, Safety, Maintenance)
- Issue/Revision number: Version identifier for each document (e.g., "Rev 5", "Issue 2.1")
- Hard copy: The downloadable PDF or file version of a document
- Access levels: Permissions that determine what you can see and download
Read-only view: My Portal: Company Documents is a read-only page. You can view and download documents you're authorised to access, but you cannot upload, edit, or manage documents from this page.
Document management: Document uploads, revisions, and assignments are managed by administrators and document controllers through the Organisation module. If you need a document that you cannot access or notice an issue with a document, contact your document controller or administrator.
2 Search for documents
Use the search box at the top of the page to quickly find specific documents. The search filters documents in real-time as you type, and automatically expands groups that contain matching documents.
How search works
- Real-time filtering: Results update as you type
- Auto-expand: Groups containing matches automatically expand
- Fuzzy matching: Finds documents even with slight spelling variations (80% match threshold)
- Searches all levels: Matches document names, group names, and custom field values
Search tips
- Enter part of the document name (e.g., "operations" finds "Flight Operations Manual")
- Clear the search box to see all documents again
- Search is case-insensitive
- Use specific terms for faster results (e.g., "MEL" instead of "maintenance")
4 View and download documents
Each document row in the table displays important information and provides access to the latest published version. Depending on your access level, you may be able to view document details or download hard copies.
Viewing a document
How to view
- Locate the document in the table
- Look for the Hard copy column
- Click the magnifying glass button to view the document
- The document opens in a preview window where you can read and download it
Access permissions
Your ability to view and download documents depends on your assigned access level:
Basic Read Only
You can see the document listed but cannot download or view its content. The view button is disabled with a "Not authorized" message.
Hard Copy Download
You can view and download the document's hard copy. The view button is enabled when a file is available.
Owner
Full access including viewing, downloading, and managing the document (management features are in the Organisation module).
5 Understanding document information
The Company Documents table displays essential information about each document to help you identify the correct version and assess its validity.
Standard columns

| Name | The document or group name | Groups are shown with folder icons; documents with file icons. Long names are truncated with a popover to show the full name. |
| Hard copy | View/download button for the document file | Click the magnifying glass to view. Button is disabled if you don't have download permissions or if no file is uploaded. |
| Issue/revision # | The version identifier for this document | Examples: "Rev 5", "Issue 2.1", "v3.0". Always displays the latest published version. |
| Effective date | The date this version of the document became active | Formatted as "DD MMM YYYY" (e.g., "15 Nov 2024"). Also called "Date of issue". |
| Expiry date | The date this document expires and needs renewal | Formatted as "DD MMM YYYY". Blank if the document doesn't expire. Check status badges for expiry warnings. |

Custom columns
Your organisation may configure additional custom columns to display specific information relevant to your operations. These appear between the "Expiry date" and "Status" columns. Custom columns might include fields like "Document owner", "Department", "Aircraft type", or other organisation-specific metadata.
6 Document statuses
Status badges provide at-a-glance information about each document's validity, expiry timeline, and compliance state. These colour-coded badges appear in the Status column.
Common status badges
Validity statuses
| Valid | Document is current and within its validity period |
| Expiring Soon | Document is approaching its expiry date and will need renewal |
| Expired | Document has passed its expiry date and may not be valid for use |
Other statuses
| No Published Items | Document type exists but no version has been published yet |
| Non-Expiring | Document doesn't have an expiry date and remains valid indefinitely |
Using expired documents: Always check document statuses before relying on them for operational decisions. Using expired documents may constitute a compliance violation.
If you notice an expired or expiring document that you need for your work, notify your supervisor or document controller immediately so they can arrange for renewal or replacement.
7 When documents aren't visible
If you cannot find a document you're looking for or a group appears empty, there are several possible reasons related to access control and document status.
Common reasons
Access restrictions
You only see documents you're explicitly authorised to access. You won't see:
- Documents assigned to other roles or users
- Documents in groups you don't have access to
- Sensitive documents restricted to specific personnel
Document status
Documents may not appear if:
- They haven't been published yet
- They've been archived or deleted
- They're in draft status awaiting approval
- No published version exists for your user account
What to do
Request access
If you need access to a document that's not visible:
- Confirm the exact name and location of the document you need
- Contact your document controller, administrator, or supervisor
- Explain why you need access (e.g., job requirement, training, specific task)
- Wait for approval and permission assignment
- Refresh the page once you've been notified that access has been granted
