1 What's on this page
The Roster page displays your personal schedule in a month-by-month calendar view. This page shows all your assigned duties, rest periods, and location assignments, making it easy to see your work schedule at a glance. You can switch between calendar view and a detailed timeline (Gantt chart) view to see your duties in different formats.
What you see here
- Monthly calendar: Your schedule displayed as a traditional calendar with 7 columns (days of the week) and up to 6 rows (weeks)
- Schedule details: Each day shows your assigned duties, rest periods, and location assignments with colour-coded badges
- Navigation controls: Month selector arrows to browse through past and future months
- Timeline view: Alternative Gantt chart view showing your duties on a continuous timeline
- FDP status indicators: Visual badges showing your Flight and Duty Period compliance status
Key concepts
- Flight duties: Your assigned flights including pre-flight, flight sectors, and post-flight duties
- Non-flight duties: Ground duties such as training, meetings, standby, or administrative work
- Rest periods: Scheduled rest between duties, which may be at home base or away
- Location assignments: Temporary assignments to specific airports or locations
- Off days: Days with no scheduled duties, shown as blank on the calendar
Read-only view: The My Portal: Roster page is primarily a read-only view of your personal schedule. In most cases, you cannot modify your schedule from this page—your duties are assigned and managed by schedulers and administrators.
Scheduling is managed elsewhere: Full staff and crew scheduling is done by administrators and schedulers through the Scheduling module. If you notice errors or have questions about your schedule, contact your scheduler or operations team.
3 Understanding the calendar
The monthly calendar displays a traditional week-by-week layout with each day showing your scheduled activities. Understanding how to read the calendar helps you quickly identify your work schedule.
Calendar structure
Weekly layout
- 7 columns: One for each day of the week, starting with Sunday and ending with Saturday
- Up to 6 rows: Each row represents a week. The calendar shows enough weeks to display the entire month plus any overflow days
- Day numbers: Each cell shows the day of the month in the top-left corner
- Current day highlighting: Today's date is highlighted with a golden/yellow background for easy identification
Days outside the current month
Days that belong to the previous or next month appear on the calendar but are displayed differently:
- Grey background: Days from adjacent months have a grey/secondary background
- White text: Day numbers and duties for adjacent month days are shown in white for visual distinction
- Still functional: You can still see duties scheduled on these days if they fall within the calendar grid
Day cell contents
Each day cell on the calendar can contain multiple elements:
Duty badges
Coloured badges representing your scheduled duties for that day:
- Flight badges: Show flight sector details with departure/arrival codes and times
- Non-flight duty badges: Show duty type and location with custom colours
- Rest period badges: Show rest types (e.g., hotel rest, home rest) with green or custom colours
Location assignments
Green badges (or custom colours) showing where you're assigned:
- Airport code: Three or four-letter code for the assigned location
- Duty code: Optional code in parentheses for the associated duty type
- Hover for details: Hover over a location badge to see the full date range and times
FDP status indicators
If you have duties on a day, a Flight and Duty Period (FDP) status badge may appear in the top-right corner of the cell:
Green badge
All FDP rules are satisfied. Your duty and rest periods comply with regulations.
Yellow badge
Warning: You're approaching regulatory limits for flight/duty time or rest. Review your schedule carefully.
Red badge
Violation: Your schedule exceeds regulatory limits. Contact your scheduler immediately.
Click on an FDP status badge to open a detailed window showing exactly which rules are affected and your current compliance metrics.
Off day calculations (optional)
If the "Show off day calculations" checkbox is enabled, additional badges appear on future dates showing your off-day compliance:
- Consecutive working days: Actual/Limit ratio (e.g., "5/7" means 5 days worked out of a 7-day limit)
- Off days in period: Shows how many off days you've had in a rolling window (e.g., "2/3" means 2 off days out of a required minimum of 3)
- Colour coding: Green badges indicate compliance, red badges indicate you're approaching or violating off-day rules
4 Duty types and display
Your schedule includes various types of duties and rest periods, each displayed with specific formatting and colours to help you quickly identify what type of activity is scheduled.
Flight duties
Flight sector duties
Flight duties appear as badges showing:
- Departure and arrival airports: Three or four-letter codes (e.g., "JNB → CPT")
- Scheduled times: Departure and arrival times in your selected time zone (UTC or Local)
- Flight number: If applicable, the flight number or identifier
- Aircraft registration: The specific aircraft assigned to the flight
- Crew position: Your role on the flight (e.g., Captain, First Officer, Cabin Crew)
Hover over a flight badge to see additional details like aircraft type, crew configuration, and any special notes.
Non-flight duties
Non-flight duties include ground-based work assignments such as:
Common non-flight duties
- Training: Simulator sessions, ground school, recurrent training
- Standby: On-call duty at home or at the airport
- Administrative: Office work, meetings, briefings
- Positioning: Travelling to/from a duty location as a passenger
- Medical: Medical examinations, health assessments
Display format
Non-flight duties display with:
- Duty type name: The name of the duty (e.g., "Simulator Training")
- Location: Where the duty takes place
- Start and end times: When the duty begins and ends
- Custom colours: Each duty type has its own colour for easy identification
Rest periods
Rest periods are scheduled breaks between duties, displayed as badges with green or custom backgrounds:
- Rest type: Home rest, hotel rest, layover rest, etc.
- Duration: Start and end times for the rest period
- Location: Where the rest period takes place
- Regulatory compliance: Rest periods are calculated to ensure you meet minimum rest requirements
Rest periods are essential for regulatory compliance. They are calculated automatically based on your preceding duties and the applicable regulations.
Location assignments
If you're temporarily assigned to a specific airport or location, you'll see a location assignment badge on affected days:
- Airport code: The location where you're assigned (e.g., "JNB", "CPT")
- Duration: Location assignments can span multiple days or weeks
- Associated duty: If the assignment is related to a specific duty type, the duty code appears in parentheses
- Hover for details: Hover over a location badge to see the full date range and times in UTC and Local
5 View duty details
You can interact with your schedule to see more detailed information about specific duties and your overall compliance with flight and duty time regulations.

Hover your mouse cursor over any badge on the calendar to see a tooltip with additional details:
- Full duty information: Complete start and end times in both UTC and Local
- Location details: Full airport names and location codes
- Duration: Total hours for the duty or rest period
- Endorsements: Required qualifications or endorsements for flight duties
FDP status window
Click on an FDP status badge to open a detailed window showing your flight and duty period compliance:
FDP compliance details
The FDP status window displays:
- Flight time totals: Your accumulated flight hours over various rolling periods (7 days, 28 days, 365 days)
- Duty time totals: Your accumulated duty hours including ground time and flights
- Rest period analysis: Minimum rest requirements and your actual rest periods
- Off day calculations: How many off days you've had and how many are required
- Rule violations: Any rules you're violating or approaching, with clear explanations
- Graphs and charts: Visual representations of your duty and rest patterns over time
Use this window to understand your compliance status and identify potential scheduling conflicts before they become violations.
Timeline (Gantt chart) view
Switch to the timeline view to see your schedule as a continuous Gantt chart:
- Horizontal bars: Each duty and rest period is shown as a coloured horizontal bar on a time axis
- Time categories: Duties are grouped by type (Duty Periods, Sign On/Off, Flight Duty Periods, Flights, Non-Flight Duties, Rest)
- Interactive tooltips: Hover over any bar to see detailed information including UTC and Local times, duration, and location
- Zoom and pan: The chart may allow zooming in/out and panning to focus on specific time periods
- Off periods: Gaps between duties are automatically shown as "Off Periods" in a different colour
The timeline view is especially useful for understanding overlapping duties, gaps in your schedule, and the flow of duty and rest periods over multiple days.
6 Understanding schedule restrictions
Your personal roster in My Portal is designed as a read-only view of your schedule. In the majority of cases, you cannot modify your schedule directly—your duties are assigned and managed by schedulers and administrators through the Scheduling module.
Read-only by default: Most users will see their roster as view-only with no edit buttons. This is by design—crew scheduling requires coordination across the organisation and must be managed centrally.
Contact your scheduler: If you notice errors in your schedule, conflicts, or have questions about your assignments, contact your scheduler or operations team. They have the tools and permissions to make necessary changes.
Who can modify schedules
Duty scheduling and crew assignments are managed by users with appropriate permissions:
- Schedulers: Staff responsible for creating and managing crew rosters through the Scheduling module
- Operations managers: Senior staff who oversee crew scheduling and can make adjustments
- Administrators: System administrators with full access to all scheduling functions
Rare exception: Self-scheduling permissions
In rare cases, some users may be granted permissions to edit their own schedules. If you have these permissions:
- Edit buttons appear: You'll see edit buttons on each day of your calendar
- Add duties and rest: You can open a window to add flights, non-flight duties, and rest periods to your schedule
- Regulatory checks apply: The system will still validate your changes against flight and duty time regulations
- Coordination required: Even with edit permissions, coordinate with your team before making changes that might affect crew coverage
If you're unsure whether you have edit permissions, look for edit buttons (pencil icons) on the calendar days. If they're not visible, your roster is read-only.
Scheduling module (for schedulers)
If you have scheduler or administrator permissions, you can access the full crew scheduling tools through the main Scheduling menu:
- Crew Rosters: Multi-crew, multi-day scheduling views for building and managing rosters across the organisation
- Flight Schedule: Assign crew to flights and manage flight operations
- Long-term assignments: Create location assignments and extended duty periods
- Roster editing: Add, modify, or remove duties for all crew members with full regulatory validation
