Fuelling Providers
Manage fuelling service providers for your airport operations.
1 What's on this page
The Fuelling Providers page serves as the central registry for all fuel service provider organisations in your network. This page allows you to create, edit, and manage fuelling provider details including contact information. Once created, fuelling providers can be assigned to specific airports through the Airport Services & Fees page, where they become available for fuel release documentation and coordination.
Provider Registry
Maintain a complete list of all fuelling provider organisations. Each provider record includes the organisation name and contact details for operational coordination.
Active & Deactivated Views
Switch between active and deactivated fuelling providers to manage your current provider list and archive historical records. Deactivated providers remain in the system for reference but are excluded from airport assignments.
Who can access: Users with the Fuelling Providers permission can view this page. Users with edit permissions can create, modify, activate, and deactivate fuelling providers. Without these permissions, an access notification displays instead.
Fuelling provider details configured here serve as the master record. To assign fuelling providers to specific airports, navigate to the Airport Services & Fees page.
Key concepts
- Fuelling provider: An organisation that delivers aircraft refuelling services at airports, including fuel supply, quality control, and refuelling operations.
- Active status: Fuelling providers marked as active are available for assignment to airports. Most operational work uses the active fuelling providers list.
- Deactivated status: Fuelling providers marked as deactivated are archived and cannot be assigned to new airports. Existing airport assignments remain but the provider is hidden from active use.
2 Viewing fuelling providers
The page displays fuelling providers in two separate views: Active and Deactivated. Use the radio buttons at the top of the page to switch between views. The Active view is selected by default.
2.1 Search
Use the search box (top-left) to quickly find fuelling providers. The search applies to the provider name field.
Search results update as you type. An information icon next to the search box displays the searchable fields when you hover over it.
2.2 Active fuelling providers table
The Active fuelling providers table displays all providers currently available for airport assignments. The table includes sortable columns and action buttons for editing and deactivating fuelling providers.
Table Columns
| Column | Meaning | Sortable | Notes |
|---|---|---|---|
| Edit | Edit fuelling provider button | No | Opens the fuelling provider detail window for editing. Only available with edit permission |
| Name | Fuelling provider organisation name | Yes | Click the column header to sort alphabetically |
| Contact details | Provider contact information | No | Contact information for operational coordination |
| Deactivate | Deactivate fuelling provider button | No | Moves fuelling provider to deactivated list. Only available with edit permission |
Click any sortable column header to sort the table by that field. Click again to reverse the sort order. A small arrow icon indicates the active sort column and direction.
2.3 Deactivated fuelling providers table
The Deactivated fuelling providers table displays all providers that have been archived. These fuelling providers are not available for new airport assignments but their historical records are retained.
Table Columns
| Column | Meaning | Sortable | Notes |
|---|---|---|---|
| Name | Fuelling provider organisation name | Yes | Click the column header to sort alphabetically |
| Contact details | Provider contact information | No | Contact information for operational coordination |
| Activate | Reactivate fuelling provider button | No | Moves fuelling provider back to active list. Only available with edit permission |
Note: Deactivated fuelling providers cannot be edited from this view. To modify a deactivated fuelling provider's details, first reactivate it, make your changes, then deactivate it again if needed.
2.4 Pagination
If more than 15 fuelling providers exist in the current view (active or deactivated), pagination controls appear at the bottom of the table. Choose 15, 30, or 60 items per page using the dropdown at the top of the page. Use the pagination controls to navigate between pages.
3 Primary workflows
3.1 Create a fuelling provider
Click the Add new fuelling provider button (top-right) to create a new fuelling provider organisation. A window opens with a form for entering provider details.
Steps:
- Click Add new fuelling provider
- Enter the fuelling provider organisation name (required field)
- Optionally enter contact details
- Click Submit to save the fuelling provider, or Cancel to close without saving
Result: The new fuelling provider appears in the Active fuelling providers table and is available for assignment to airports.
After creating a fuelling provider, navigate to the Airport Services & Fees page to assign this provider to specific airports where they operate.
3.2 Edit a fuelling provider
Click the edit button () in any active fuelling provider row to modify the provider's details. A window opens with the fuelling provider's current information pre-filled.
Steps:
- Click the edit button in the fuelling provider's row
- Update the fuelling provider name or contact details as needed
- Click Submit to save changes, or Cancel to discard changes
Result: The fuelling provider's information is updated throughout the system, including all airport assignments.
Permission required: The edit button only appears if you have the edit permission for Fuelling Providers. Deactivated fuelling providers cannot be edited directly—reactivate them first if changes are needed.
3.3 Deactivate a fuelling provider
Click the deactivate button () in any active fuelling provider row to archive the provider and remove it from active use. A confirmation message appears before the change is applied.
Steps:
- Click the deactivate button in the fuelling provider's row
- A confirmation window appears asking you to confirm the action
- Click Confirm to deactivate, or close the window to cancel
- The fuelling provider is immediately moved to the Deactivated fuelling providers list
Result: The fuelling provider no longer appears in the Active fuelling providers list and cannot be assigned to new airports. Existing airport assignments remain intact but the provider is flagged as deactivated throughout the system.
Tip: Use deactivation instead of deletion to maintain historical records. Deactivated fuelling providers preserve all past service records and can be reactivated later if the business relationship resumes.
3.4 Reactivate a fuelling provider
Click the activate button () in any deactivated fuelling provider row to restore the provider to active status. The fuelling provider moves back to the Active fuelling providers list.
Steps:
- Switch to the Deactivated view using the radio button at the top
- Click the activate button in the fuelling provider's row
- The fuelling provider is immediately moved to the Active fuelling providers list
Result: The fuelling provider appears in the Active fuelling providers list and is available for assignment to airports again. All previous airport assignments and configurations are retained.
4 Field reference
The fuelling provider detail window contains the following fields:
Fuelling Provider Fields
| Field | Meaning | Required | Notes |
|---|---|---|---|
| Name | Fuelling provider organisation name | Yes | Used throughout the system to identify this fuelling provider. Should be the official business name of the fuelling company |
| Contact details | Primary contact information | No | Main operational contact information. Can include phone numbers, email addresses, or other relevant contact details |
While contact details are optional in the fuelling provider registry, these details are important for operational coordination. You can add location-specific contact information when assigning fuelling providers to airports through the Airport Services & Fees page.
5 Common validation rules
The system enforces the following rules when creating or editing fuelling providers:
Validation Rules
- Name is required: Every fuelling provider must have a name. This field cannot be left blank
- Submitting indicator: While the system saves your changes, a loading indicator appears and the Submit button is disabled to prevent duplicate submissions
If validation fails, the window remains open and displays error messages below the affected fields. Correct all errors before submitting again.
