Your Audits (Auditee)

View audits where you have been assigned as an auditee and submit pre-audit checklist responses.

As an auditee, this page shows all audits where you have been asked to participate by providing pre-audit information. You can view audit details, open shared checklists, and submit comments and supporting documents for each checklist item before the audit takes place.

1 What's on this page

The Your Audits (Auditee) page displays all audits where you have been assigned as an auditee. Auditees are people or organisations that are being audited and who have been invited to provide pre-audit information. This page is accessible to both internal users and external portal users.

What you see here
  • Audits table: Searchable and filterable list of audits you are assigned to as an auditee
  • Audit details: Key information including audit code, name, type, entity, team, bases, aircraft, and scheduled dates
  • Checklist button: Opens the pre-audit checklist when checklists have been shared with you
  • View submissions: Displays the number of checklist items you have already responded to
  • Read-only audit view: Click the audit code to open a full read-only view of the audit details
Key concepts
  • Auditee: A person or organisation being audited who has been invited to provide pre-audit information
  • Pre-audit submission: Comments and documents you provide for specific checklist items before the audit occurs
  • Shared checklist: An audit checklist made available to auditees by the auditor; allows you to view items and submit responses
  • Internal auditee: A user within your own organisation assigned as an auditee
  • External auditee: A user from an external organisation invited to participate via the external user portal

2 Viewing your assigned audits

The audits table shows all audits where you are an auditee. Use the search and filter controls to find specific audits.

Audits table columns

Column Description
Code The unique audit code. Click to open a read-only view of the full audit details
Checklist Shown when at least one audit in the current view has checklists shared with auditees. A green button opens the pre-audit checklist for that audit. A "View N submissions" button appears when you have already submitted responses. A locked button with a tooltip indicates the checklist has not been shared with you for that specific audit
Audit name Descriptive name of the audit
Source The QSS section the audit belongs to (e.g., Quality Audit, Safety Audit)
Entity conducting audit The organisation or department conducting the audit
Entity being audited The organisation or department being audited
Team Displays a green badge showing the audit team. The badge icon reflects team size: a single-person icon for one auditor, a two-person icon for two auditors, and a group icon for three or more. Hover the badge to see the full list of auditor names
Auditees All auditees assigned to the audit. Hover to see names
Bases Operational bases in scope. Hover to see the list
Aircraft Aircraft in scope. Hover to see details
Start date The scheduled start date of the audit
End date The scheduled end date of the audit

Search and filter

Use the controls at the top of the page to find specific audits:

  • Search box: Filter audits by audit name or audit code
  • Date filter: Filter by the date the audit was requested
  • Items per page: Control how many audits appear per page

3 Opening a pre-audit checklist

When to use

Use the pre-audit checklist to review the audit items and submit your comments and documents before the audit takes place. This allows auditors to review your position on each checklist item in advance, which can make the audit more efficient.

Steps

  1. Locate the audit in the table
  2. In the Checklist column, click the green checklist button ()
  3. The Auditee Checklist page opens, showing all checklist groups and items for that audit
  4. Expand groups and items using the expand/collapse buttons
  5. For each item you want to respond to, click the Edit button (pencil icon)
  6. In the submission window that opens:
    • Enter your comments in the text area (optional)
    • Upload supporting documents (optional)
  7. Click Submit to save your response

Checklist structure

The Auditee Checklist page shows the audit checklist organised as:

  • Checklists: Top-level groupings of related groups
  • Groups: Sections within a checklist (e.g., "Documentation Review", "Physical Inspection")
  • Items: Individual questions or requirements within a group. Each item can have a pre-audit submission from you

Pre-audit submission fields

Field Description
Comments Free-text field for your response, observations, or any relevant information about this checklist item
Documents Upload supporting files (e.g., evidence, certificates, procedures) relevant to this item

4 Viewing audit details

Click the audit Code button in the table to open a read-only view of the audit. This view shows:

  • Full audit metadata (name, type, area, dates, scope)
  • Audit team members and their roles
  • All auditees assigned to the audit
  • Information shared with auditees (checklists, scope, objective)
  • Opening remarks from the auditor

This read-only view is useful for reviewing the full context of the audit before or during the pre-audit preparation process.

5 Viewing your submissions

Once you have submitted responses for one or more checklist items, a View N submissions button appears in the Checklist column alongside the checklist button. Click this button to open a read-only summary of all your submitted responses for that audit.

The submissions view shows:

  • The checklist item name and reference number
  • Your submitted comments
  • Any documents you uploaded
  • When the submission was last updated

6 Rules & Permissions

Access rules

  • This page is visible to all logged-in users (internal and external) in the My Portal section
  • Only audits where you are specifically assigned as an auditee appear on this page
  • You can only open the checklist for audits where checklists have been explicitly shared with auditees by the auditor
  • You cannot submit or edit responses for checklist items that have already been audited (locked items)
  • External portal users access this page through the external user portal

Submission rules

  • Submissions are optional — you can submit responses for as many or as few items as you choose
  • You can update a submission at any time until the checklist item is audited (locked)
  • Auditors can view your submissions in read-only mode from the main audits table
  • Auditors can also see your submission history when conducting the audit
