Crew & Scheduling Setup
Configure your flight crew, duty regulations, and scheduling environment.
1 Flight Crew — Critical Setup
Who does this: System Administrator
For each pilot, complete both steps:
- Assign the Flight Deck Crew system role — via Administration → User Management (in the user's profile) or via Role Management → Flight Deck Crew → assign member.
- Go to Staff Management → Crew & Staff Register. Find the pilot → click Endorsements → assign the correct flight crew endorsement (e.g. Captain B737, First Officer A320).
For each cabin crew member (if applicable), complete both steps:
- Assign the Cabin Crew system role — via Administration → User Management (in the user's profile) or via Role Management → Cabin Crew → assign member.
- Go to Staff Management → Crew & Staff Register. Find the cabin crew member → click Endorsements → assign the correct cabin crew endorsement.

2 Sub-Grouping Pilots (Recommended Pattern)
Who does this: System Administrator
If you need to distinguish between different groups of pilots (e.g. permanent and freelance), the recommended approach is:
- Assign the Flight Deck Crew system role to all pilots — this is always required.
- Create additional custom roles for sub-groups — for example, Fulltime Pilots and Freelance Pilots.
- Assign the applicable custom role to each pilot as well.
This approach allows you to:
- Filter by Flight Deck Crew on any page to see all pilots.
- Filter by Fulltime Pilots or Freelance Pilots to see only that group.
- Scope compliance documents by sub-group — for example, a Freelance Contract document can be required only for the Freelance Pilots role.
The same pattern applies for cabin crew sub-groups — for example, Fulltime Cabin Crew and Contract Cabin Crew — if your operation needs that level of distinction.

3 Compliance Document Structure
Who does this: System Administrator / Chief Pilot / Cabin Crew Manager
Define what documents each role must hold. This drives what is tracked in Crew & Staff Register and visible in each user's own compliance portal.
- Go to Staff Management → Settings → Licence & Document Types.
- For each document type (Class 1 Medical, ATPL, Type Rating, Freelance Contract, etc.), assign an Applicable Role:
- Class 1 Medical → assign to Flight Deck Crew (applies to all pilots)
- Freelance Contract → assign to Freelance Pilots (applies only to that sub-group)
- Company Induction → assign to a broader role or leave open if it applies to all staff
- Once configured, Musket tracks document currency and expiry for each applicable staff member automatically.

4 FDP Regulations
Who does this: System Administrator / Chief Pilot
Flight & Duty Period (FDP) regulations define the duty time rules Musket enforces for each flight. Regulations are not pre-seeded with values — they must be configured for your operation.
In the meantime — to get started quickly:
- Go to Staff Management → Settings → Regulations.
- Review the pre-seeded regulation names (e.g. Part 91, Part 135, Part 121). Rename them to match the actual regulation names applicable to your operation (e.g. "Commercial Air Transport", "Non-Commercial", "Part 135 Charter").
- Each flight in Musket is assigned a regulation — this is how Musket knows which FDP rules to enforce for that specific flight. Regulation names must be correct before flights are added.
Global definitions — also review in the Regulations settings: Local Night definition, Off Day definition, and similar parameters. Musket Support can assist with these definitions, or they can be set manually.

5 Flight Crew Positions
Who does this: System Administrator / Chief Pilot / Cabin Crew Manager
Flight Crew Positions define the labels used when assigning crew to flights. This is not the same as roles — positions are purely for rostering crew onto flights.
- Go to Staff Management → Settings → Flight Crew Positions.
- Review the default positions. Add, rename, or remove as applicable to your operation.
- If your operation uses cabin crew, add cabin crew positions here too (e.g. Senior Cabin Crew, Cabin Crew).

6 Scheduling Settings
Who does this: System Administrator / Operations Manager
Most scheduling settings are pre-seeded with sensible defaults. Review the following:
- Flight Types — update this for your operation. Flight Types classify each flight (e.g. Charter, Training, Positioning, Maintenance Ferry). The defaults may not match your operation's terminology. Review and adjust.
- Default departure/arrival airports — set your primary base airports as defaults if useful.
- Default turnaround time — set a sensible default for scheduling efficiency.
- Auto-generated flight numbers — useful for non-scheduled operators who do not use structured IATA flight numbers. Enable if applicable.
- Manual flight approval workflow — if flights should go through an approval step before being finalised, enable this here.

7 Flight Operations Settings (Review)
Who does this: System Administrator / Operations Manager
Musket pre-seeds standard IATA delay codes and standard MVT (Movement) message templates. For most operators, these defaults are functional out of the box — you do not need to rebuild from scratch.
- Review the delay code list and remove or rename any that are not applicable.
- Review the MVT message templates if your operation sends automated movement messages.
- Review crew brief and de-brief templates if applicable to your operation.

8 Musket App / EFB Setup
Who does this: System Administrator
The Musket App is the mobile interface used by pilots and crew. Configure it via Administration → Global Settings → EFB Settings.
- Decide what pilots can do in the app: view documents, capture block times and fuel, create flights, sign on/off duties.
- By default, the app provides read-only access — enable write access for the features your pilots need.
Aircraft Mode (for shared devices):
- If your operation uses shared iPads or tablets assigned per aircraft (rather than per pilot), enable Aircraft Mode.
- In Aircraft Mode, all pilots use shared Aircraft Mode credentials on that device — pilots do not log in with their personal account on the shared device.
- Distribute the Aircraft Mode credentials to your pilots and operations team so devices can be set up.
